QR Code Event Check-In: Batch Scanning Workflow
Plan a QR code event check-in workflow with continuous scanning, entrance collections, duplicate guidance, review, and CSV export.

A practical QR code event check-in workflow uses continuous scanning to capture attendee codes one after another, separates records into entrance or session collections, and applies a written rule for duplicates and invalid entries. Separate fast capture from admission rules
A QR scanner reads encoded content. It cannot infer your event’s rules unless those rules and supporting data are part of a separate process. Before opening doors, decide what staff should do when a code is repeated, absent from the list, unreadable, assigned to another session, or presented without connectivity.
If immediate live validation against a central ticket system is required, use the system designated by the organizer. ScanBatch should not be described as a direct ticketing integration. It is useful for continuous local capture, organized records, notes, and CSV export.
Prepare collections around event operations
Create collections that match how you will later investigate attendance. Depending on the event, that may mean one collection per:
- Entrance or registration desk
- Time block or day
- Workshop or room
- Staff operator
- Exception queue
Use names such as “East entrance — morning” rather than “Check-in.” Distinct collections help identify where a record originated when teams combine exports later.
Avoid splitting work too finely. A new collection every few minutes adds friction without useful reporting value. Choose boundaries already meaningful to venue operations.
Test representative tickets before doors open
Test printed badges, phone screens, different brightness levels, and any QR formats attendees will present. Check camera position and venue lighting. A screen with low brightness, a cracked display, a folded printout, or glare can slow recognition.
Set up the desk so staff can frame one QR code at a time. Keep an alternate manual check-in route from blocking the main queue. If attendees approach several scanners, assign lanes or entrances to reduce accidental double capture.

Run a continuous check-in line
1. Confirm the correct collection
At shift start, each operator checks the collection name. This simple step prevents an entire entrance from being saved into a test or previous-session list.
2. Present one code clearly
Ask the attendee to hold the phone or paper steady. Frame the QR code without nearby badges entering the view. Reduce screen glare and give the camera a moment to focus.
3. Wait for recognition
Move to the next attendee only after the code has registered. Continuous scanning avoids returning to a start screen, but it should not become uncontrolled camera movement.
4. Apply event policy
If your process includes an offline guest list, compare the decoded value using the approved method. If it requires a connected ticket platform, follow that platform’s result. Move unresolved cases to the exception route so the main line continues.
5. Add concise notes only when needed
Useful notes might include “manual ID check,” “moved to workshop B,” or an approved exception code. Avoid collecting extra personal information merely because a notes field exists.
Decide what duplicate codes mean
Duplicate handling is a business rule, not a universal scanner feature. A repeat may mean:
- The same ticket was presented twice.
- An operator accidentally captured one screen twice.
- A group intentionally shares one booking code.
- Separate sessions legitimately reuse an identifier.
- Two entrances are working from unsynchronized records.
Write the rule before the event and train staff. For a unique single-entry ticket, a second capture may need review. For a group booking, it may be expected. Record the resolution instead of deleting evidence without explanation.
If multiple devices operate independently offline, they cannot automatically know what another device captured. Reconciliation afterward can reveal cross-device repeats, but it cannot provide immediate shared-state enforcement. Events requiring instant duplicate prevention need an authoritative connected system or another approved coordination method.
Work through poor connectivity
Core ScanBatch scanning works offline, so camera capture can continue in a venue with unreliable Wi-Fi. Collections, notes, and scan history stay on the device by default. This can keep the line moving when the job is to record QR values locally.
However, opening URL destinations, querying a cloud guest list, or synchronizing validation requires connectivity. Offline capture alone should not be treated as proof that a ticket is valid.

Close each shift with review and export
At shift change or session end, review the collection before staff leave. Compare rough attendee counts, inspect exception notes, and make sure the collection scope is complete. Preserve unresolved cases for an event lead.
Export the relevant collection to CSV instead of full history when only that entrance or period is needed. Give files clear names, then import them into your reporting spreadsheet. When combining entrances, retain an entrance or source-file column. Check exact identifiers for repeats across files. Keep original exports unchanged and perform cleanup in a working copy. Follow the CSV export guide for safe handling.
Protect attendee information
A ticket value may be personal data or a credential. Limit access to devices and exports, use approved sharing methods, and retain records only as long as event policy requires. Do not include names, contact details, or incident narratives in notes unless necessary and authorized.
Local-first storage reduces automatic transmission during capture, but exports, backups, and connected destinations introduce other systems. Treat each transfer deliberately.
Staff should also avoid opening unknown URL QR codes presented outside the expected ticket format. A decoded link is not automatically trustworthy.
Account for physical and process limits
Damaged printing, dim screens, glare, tiny codes, and camera focus can cause failures. Maintain a manual lookup or help desk. A successful decode can still contain a mistyped, canceled, or unauthorized value; only the event’s source of truth can determine that.
Continuous scanning improves the capture flow but does not replace staffing, queue design, accessibility accommodations, identity checks when required, or emergency procedures. Keep the alternate path visible and easy to reach.
