Scan Multiple Barcodes Into a Spreadsheet
A practical workflow to scan barcodes into a spreadsheet using collections and CSV import in Excel, Numbers, or Google Sheets.

To scan barcodes into a spreadsheet, capture the labels in a dedicated ScanBatch collection, review the saved records, export that collection as CSV, and import the file into Excel, Numbers, or Google Sheets. This preserves a clean boundary between camera work and spreadsheet analysis without implying a direct integration.
Plan the spreadsheet before scanning
Start with the result you need. Are you counting products, checking assets, recording deliveries, or building a contact list? A barcode normally supplies an encoded value, not every business field associated with that value. A UPC might identify a product type, for example, but it does not inherently provide your current quantity, shelf, supplier, or condition.
Write down the extra columns your final sheet needs. Common examples include expected quantity, location, condition, operator, and reconciliation status. ScanBatch captures scan records and lets you add notes; you can enrich the exported rows in your spreadsheet afterward.

Capture barcodes in a controlled sequence
Create a collection for the job
Choose a name that will still make sense in an exported file: “Receiving — supplier — August 7,” “Shop floor — aisle 2,” or “Laptop audit — office north.” Separate collections prevent one job from becoming mixed with personal tests or an earlier scan session.
Use multiple collections when different locations, teams, or reporting periods need separate files. Avoid making a new collection for every individual item; that creates more organization work without improving the report.
Scan continuously
Open the scanner and work through labels in a fixed physical order. Scan shelves left to right, boxes from the top of a stack down, or assets along a planned route. Wait for each barcode to register before moving to the next.
ScanBatch supports QR, UPC, EAN-13, EAN-8, Code 128, Code 39, and more. Recognition still depends on a readable label. Flatten wrinkled labels where possible, reduce glare, and bring the camera close enough that the bars are distinct.

Record exceptions as notes
Use notes for facts the barcode cannot encode: “carton damaged,” “counted 4 units,” “serial label faded,” or “located in cabinet 3.” Pick a short vocabulary for recurring states so later filtering is consistent.
Do not assume a product barcode uniquely identifies each physical unit. Multiple units often carry the same UPC or EAN value. Asset tags and serial labels may be unique, but that depends on the labeling system. Define whether repeated values mean quantity, a duplicate action, or an exception before starting.
Review the collection before export
Compare the number of records with an expected count when one exists. Look for missed labels and obvious accidental captures. If five identical retail products were intentionally scanned, keep those five rows when each row represents one unit. If a unique badge was scanned twice, investigate it.
ScanBatch records captured values; it does not decide your organization’s duplicate policy. This review step prevents spreadsheet cleanup from becoming guesswork.
Export only the relevant collection unless the report needs complete history. A narrowly scoped CSV is easier to name, share, and reconcile.
Import CSV into common spreadsheet tools
Microsoft Excel
Open or import the CSV through Excel’s data import flow. Importing provides more control than double-clicking, especially for identifiers with leading zeroes. Set barcode-value columns to text when Excel might interpret them as numbers or scientific notation.
After import, confirm row count and inspect values at the beginning and end. Then add reference columns or use lookup tools against your product or asset list.
Apple Numbers
Open the CSV in Numbers or drag it into a new document. Check that the first row and data columns appear as expected. Treat identifiers as text when preserving exact formatting matters. Save the resulting Numbers document separately so the original CSV remains an untouched exchange file.
Google Sheets
Create or open a sheet and use its file import feature to upload the CSV. Select whether to create a new sheet, replace a sheet, or append based on your workflow. Avoid appending blindly to an existing table unless columns match.
ScanBatch exports a file for import; it does not sync directly or continuously with Google Sheets. This separation is useful offline and keeps you in control of when data leaves the device.

Reconcile instead of merely collecting
A spreadsheet becomes useful when captured rows are compared with an authoritative list. Add a status such as matched, unexpected, missing, or review. For inventory, aggregate repeated product values to calculate observed counts. For uniquely tagged assets, compare each captured identifier against the register.
Keep missing expected items distinct from unexpected scanned items. They represent different problems: one may be absent from the physical area; the other may be present but absent from the source list.
If several people scan different areas, give each person separate, clearly named collections and combine exported files only after checking that columns and date scope agree. Preserve source collection or location as a column during consolidation.
Practical caveats
CSV is plain tabular data. It does not preserve spreadsheet formulas, styling, dropdowns, or relationships. Add those after import in the working spreadsheet. Keep an original CSV copy as the capture record before making edits.
Barcode values may look numeric while functioning as identifiers. Leading zeroes can be meaningful, and long values can be reformatted by spreadsheet software. Import identifier columns as text and compare exact values rather than performing arithmetic on them.

A dependable pipeline has four stages: scope the collection, scan in order, review exceptions, and import the exported CSV with identifier-safe settings. That simple separation produces a spreadsheet you can audit and repeat.
